Hey - I'll hit you up. But I want to make a note to folks - Send money to Chaos by hitting the "other" tab and choosing either "Gift" or "Payment owed". That will prevent him from being charged 3% each time we send him our contributions.

Don't mind me - I don't follow instructions very well and should have read the attachment.

So - it's non-refundable - but applied to the final bill, whatever that may be.

Sounds like we need to plan another committee meet soon to discuss what packages we might want to choose. I know we can do it just as easily online, but it's more fun in person! ;-)

The $150 is a non-refundable rental fee, covering cleaning of the room, etc. IMO it's worth it. You're not going to find a nice space like that for free, and would pay significantly more if you used, say, a hotel meeting room.

Thanks for clearing that up, Chaos. I agree, it would be worth $150 for the space. I looked into Stone Mtn and they wanted $450 for the same thing, for a pavilion. So in light of that, I'm all for it.

After having read the rental agreement, it appears the $150 fee for booking the room is a minimum fee (applied to total bill), and the final bill will be determined by the number of people who attend. If I'm understanding it correctly, we won't know how much the 'per person' fee will be until the final bill is tallied, and part of that bill will be 'the menu' (selected 'in advance').

I haven't attended an event such as we're considering/describing, but an 'open ended bill' (to be tallied at the close of the event) sounds a bit unnerving to me. Without an advance treasury to guarantee payment of whatever amount, I can imagine that someone might be left holding 'the bag' at the end of the day, to make up for any shortages...and that's a situation I would like us to avoid 'in advance', if at all possible.

On the other hand, if the contact person is certain that funds will be generated @ 'the gathering' to cover final costs, then any location might be appropriate.

Since the total bill will be determined by the number of people (above the minimum guarantee) who actually attend, what if some folks spontaneously bring two or more guests? Would those guests be expected to pay an entrance fee?

What if it snows on the 18TH, and only 8 people show up?

Who's going to select the menu 'in advance'?

Am I presenting valid questions, or am I missing/overlooking the point somehow? :confused:

Always good to consider a catastrophe, Mike. In this instance I'm going to make sure that the $150 is the most that we're going to be responsible for. People will be responsible for paying for their own food and bevarages just like they were at any restaurant. If OTG isn't OK with that then we may have to consider other options. We're just not established enough to do a catered event like the standard banquet agreement specifies.

As you can see the 'Banquet' package is just one of several. We're not really looking to get any kind of package at all, just a straight room rental.

If you look under the Drinks option you'll see that one them is "Cash Bar". That's basically what we're going for.

That's good!

In addition, if plans are in the works for generating cash at the event (such as the aforementioned contribution to CASAA) I would first reimburse all who contribute any pre-payment to reserve the space. Otherwise, we're throwing a party for everyone else, and I don't think we want that to be the outline for future gatherings (unless we have a generous benefactor participating with us ;)).

If YOU and others feel comfortable proceeding, I'm 'IN for $10', and will send the cash when you're ready to receive it.

hey Rabernet, does it really snow in Georgia? All I've ever seen since I've been here is a little slush, and that was gone by lunchtime. Now if you want SNOW, I grew up in Chicago, and it can SNOW there, but then again, when it slushes here everyone is in a panic. Try driving in 5ft of snow during a blizzard. Then you get a bit nervous :laugh:

Chaos - Can you confirm these arrangements with OTG? Can the staff do a separate food/drink bill for each attendee (or attendee and friend/soulmate/spouse). This may end up being multiple checks per table?

That's what we did last time, but I'm going to verify all of this with the booking manager before I drop any money on them. I agree about reimbursing the donaters from the raffle (especially since most of its coming from me! LoL.) Hopefully once we get the ATL Vapers Club started we can do this a little smoother.

I was here for the big storm in 93, and surely you didn't miss the ice storm early this year, snow to ice on sunday, not above freezing until wednesday.. (Also from Chicago area).

Didn't find this thread until 3:30 on sunday.. a few hours earlier probably would have shown up. Sweetwater good. Just don't visit sweetwater creek.. There is interesting historical site on it, but actual creek and beer association is not recommended.

Oh, add a mark for Chamblee on the map ;)
