I think considering the trouble they're going to for us, and the fact that we won't be doing the meal packages as they normally do, $150 is a perfectly acceptable rental fee. Unless anyone has any objections I'm going to call tomorrow and reserve the room. I got about $40 in help, and we'll recoup the total $150 from the Vendors and Raffle, and pay back those of us that pitched in on the bill. If anyone wants to throw in a bit it'd be nice, though. Gotta buy about $600 in school books for next semester. Freaking college bookstores got a real racket going on.

Chaos - you need me to toss some more money in the kitty to help you out?

WOW! You guys (and Girl, I wouldn't forget you Rabernet :)) have really been busy while I've been laid up. After Sammy gets the e-mail to the vendors I'll contact Whim Wham, prob next week. Is there going to be an in person meeting with the manager at Olde Towne? If so, when, and who is going? Or is it all settled from your visit, Sammy? Can our committee go there and see what's it like before the Meet, maybe for our next planning session? Will our committee be going early to set up tables for vendors, and things like that? And should we have a table set aside for our committee, or do you want to just sit anywhere? I know, lots of questions and it's still early, so, bear with me :) I'll prob have a lot more in the coming days and weeks. Why, I don't know, I just got the ball rolling, you all have done most of the footwork.

We can definitely have our follow-up meeting at Olde Towne. It shouldn't be necessary to meet with the manager again. I'll just give him a call and book the room over the phone. As for setup, yeah, we're probably going to want to get there a bit early, though the room will be set up fine just as it is. I don't think we need to set aside a table for us, though I will be ensconced with my laptop at one of them managing the raffle and door prizes.

Are you going to get a date and time for our follow-up when you book it, or we just decide when after you close up the deal? Whenever you decide we should meet there is fine with me (I should hope so, you will probably be my ride again if that's not too much trouble :)). And I don't mind sharing a table with your laptop heheh. And as far as set up, I was just thinking about the vendors more than anything, prob along the outer walls. And do we have a time frame yet, or is that to be determined when you book it?

I don't think we need to set aside a table for us, though I will be ensconced with my laptop at one of them managing the raffle and door prizes.
I tend to think it would be a good idea to have a 'committee table' (even if it's small) as a central location for conducting whatever business we might need to conduct or take care of at the event. In addition, we might want to have a sign-in sheet so we'll know how far our reach turns out to be, as well as a sign-up sheet for email notifications of future gatherings we might plan (such as an outing to Andretti's, a picnic to Stone Mountain, or crashing Chatter97's House Warming Party! :laugh: - congrats). It could also be a place for folks to pick up info from CASAA, as well as to express interest in forming a 'Vapers Club'...if that's something we want to pursue.

I haven't been to OTG, but I suspect they would also appreciate us having some of their business cards - or MATCH BOOKS :evil: - available. (Perhaps OTG would even contribute a few discount coupons for menu items as door prizes??)

I don't know that 'the committee' needs to sit together, but I do think 'Organizer' name tags could be helpful...if for no other reason, it would provide an identifiable FACE for somebody to share their ideas directly with the folks who might have the ability to use them. :blink:




On the other hand, we might quickly find there's no real need for such a table after the event begins. If that's the case, we can clear out and make it available for whoever needs it, but unless we reserve a table in advance for 'our' business, we might miss the convenience it can offer. :2c:

Long day 4me...need sleep.........I have MORE ideas, but will sleep on them to see if they are really good, or simply aberrations of a tired brain. ;)

It boggles my mind to look at my counter below, and see how many THOUSANDS of analogs I have avoided in less than THREE months.....amazing!!! :D

I've read about the Chaco Canyon. I think it was in a Douglas Preston/Lincoln Childs book. Cool stuff. Bizarre how the Anasazi just suddenly disappeared.


Just talked to the manager at OTG. Apparently when they planned the meet back in May they promised him it would be a monthly event, and got him to waive the normal $150 fee. He's not willing to do that again since they didn't follow through on it. I think we can easily collect $150 from attending vendors if we just ask $25 a piece, and then maybe take a bit of the Raffle money to cover any shortfall. Where we stand now is we need a $150 deposit to book the room.

We never would have even suggested that as those of us who organized it were not going to be active "organizers" again and the previous get togethers were never planned on any regular basis. The manager did tell me that they had been "stiffed" before on reservations which is exactly what happend the night of our get together in May and the reason we got the better room. My guess is that this is a new policy as he never mentioned any upfront reservation monitary requirement to me.

It was a great location and worked very well for our third get together. If you all can make it work, you should enjoy the location from a space, atomosphere and food stand point.
