Glad to see I am not the only one up late and vaping in GA.

I have not sent any emails yet but will tomorrow when I get the kids off to school. Been Christmas shopping or at least trying to get the wifey to stop Christmas shopping.

I did talk with Todd at Vaperite early last week since they called me. I left a message with an ordering question and figured I would mention the get together since I had him on the phone. He is very interested in attending and I told him I would send him an email with more details as soon as we got all the details hammered out.

I will post a draft of the email here for a quick yay or nay before sending. Figured if I sent it on Monday (tomorrow...I mean today) it would catch more attention and hopefully not get buried in between customer emails.

Georgia vape Meet February 18th 2012

A group of vapers in Georgia are planning a meet in February and we would love to have you join us! The meet is planned for Saturday February 18th, 2012 starting at 5pm. We have a room reserved at the Olde Towne Tavern and Grill in Lawrenceville, GA (see below for location details).

We are expecting around 50 or more electronic cigarette users to attend and several vendors that we have chosen to invite to the event as well. There will be a cash bar and all meals will be a la carte. The only requirement for vendor attendance is a $25 fee (via PayPal) to help cover the expense of renting the space at Olde Towne Tavern. A few donations for door prizes or juice samples would be greatly appreciated but are completely optional. Any raffle proceeds or monies left over after covering the fees for the space will be donated to one of the trade/activists organizations like CASAA.

You are also welcome to bring items to sell at the event. We will have tables set aside for vendors so you will have a space to display any products that you bring. This would be a great chance for your company to connect with e-cig users, maybe make some new customers and friends!

If you are travelling a distance and are interested in staying overnight, we have arranged for discounted rates at the Hampton Inn on Sugarloaf Parkway in Lawrenceville near Olde Towne Tavern!

Please reply to this email and include your phone number if you are interested in attending as a vendor. Someone from our group will contact you by phone later this week to answer any questions you may have and confirm your attendance. We hope to see you there!

Date: Saturday February 18th, 2012
Time: 5PM
Place: Olde Town Grill in Lawrenceville, GA

My suggested changes :

We are expecting around 50 or more electronic cigarette users to attend and several vendors have already volunteered to attend the event as well. There will be a cash bar and all meals will be a la carte. The only requirement for vendor attendance is a $25 fee (via PayPal) to ChaosAffect to help cover the expense of renting the space at Olde Towne Tavern. A few donations for door prizes or juice samples would be greatly appreciated but are completely optional. Any raffle proceeds or monies left over after covering the fees for the space will used for future events for the ATL Vapers Club.

Please reply to this email and include your phone number if you are interested in attending as a vendor. Someone from our committee will contact you by phone later this week to answer any questions you may have and confirm your attendance. We hope to see you there!

Underlined are just my suggestions, feel free to discard or discuss and change as the rest the committee feels the need. You can leave the underline out :)

Chaos - Is it ok to include your PayPal email in the letter rather than your ECF forum name. (I will not publish it here of ECF btw).

Balthezar - I also agree that any monies left over should be used first to reimburse those who pitched in for the deposit and the rest donated to CASAA or other. The rest of the suggestions look great! :)

Looks like a good letter Sammy43, and THANK YOU for doing it, cuz I know we ALL appreciate it!

I also agree with the first two comments from Balthezar, as well as the last comment by ChaosAffect: I DO think we need to reimburse folks who provided the reservations funds, but I don't think we need to reserve extra funds for future meetings by 'the club', because we don't have officers - nor a treasurer to throw in jail after they purchase a couple of Provari's and Lavatube's with the extra loot!

Personally, I'm impressed at how well we're doing as 'an organizing committee', and think we probably should write up an outline of how we 'did it'. Knowing what we need to do step-by-step will help us pull similar gatherings together in the future, plus other folks might be able to use the outline for organizing similar functions in other locations (wherever they may be).

We still need to have another 'committee meeting' sometime in January (cuz I thought it was fun getting together...plus I need to see the latest & greatest stuff y'all got for Xmas!). Shall we pay OTG an impromptu visit to meet the management, express our appreciation, sample the food...and ask for discount coupon door prizes for the February event???? ;)

OK, sounds good, since Chaos agrees to use his PP, and we agree on the volunteer vendor part. Maybe leave out any mention of leftover funds, so we will have an option for where it should go rather than mention anything specific? And shall we wait and hear what rabernet, chatter and NestoChe have to say about the e-mail before we proceed? Up to you all.

Yes, any additions/suggestions/changes on the vendor email from rabernet, Chatter97 or NestoChe?

Was just wondering about OTG and if they will allow vaping for our planning meeting? I know they will let us vape in the private room upstairs for the big meet...maybe we should give them a call?
Good question. I just called, and Lauren said she doesn't THINK they allow vaping in the public sections, but asked if we can call in the morning and ask FRANKIE (the manager who will know all the answers).

I'm not available to call anybody on Tuesday (gigs all day), so hopefully someone else can do it?

Whew, you all have been busy! I have copied Sammy's post to let AV and a couple other I buy from know what's up.. Are we cool with samples or cards from out of town vendors?
I would appreciate samples & cards myself!

Maybe we can have a table set up where folks can drip a lot of different flavors??

Hopefully some of the vendors will bring a supply of DRIP TIPS & attie's (to sell to the folks who didn't bring any). :glare:
