Hey everyone, guess I'm gonna have to miss Saturday, my Mom had to have a second surgery, but I know you will keep the rest of us posted with what happens. Hate to miss the meeting but I'm sure you can manage without me :) . But I will definitely make the Get Together in Feb. Have fun and stay out of trouble heheh

OK...best as I can figure, here's the list of folks attending our Saturday 'vaping party planning session'.

Currently we have 5 'definite' & 2 'maybe':

AGENDA:
  • Arrive at 'Old Town Grille' in Lawrenceville between 3:00 - 3:30 pm.
  • Check out reserved room.
  • Layout room arrangement for vendor tables.
  • Locate 'committee table' for sign-in/name tags/raffle tickets/door prizes/info/etc.
  • Locate 'the facilities'.
  • What is room capacity?
  • Will we need a microphone? ...and if so, who provides it?
  • Finalize arrangements with OTG.
  • Finalize remaining activities of 'the committee', and complete 'To Do' and 'Need To Get' lists.
  • (Have I missed anything? If so, lemme know! :unsure:)

Then, get down to business with the important part of 'the meeting'...head to 'McCray's Tavern on the Square' (and bring yer gear)! :laugh:

I would like to add that we should discuss the status of the vendors. I know that several have responded and a few have paid the fee. Hopefully Chaos will join us and have some details on this.

We also need to check on vendor follow-ups. I have a couple that still have not emailed phone numbers with some that did not respond. Maybe a second email to the vendors is in order?

Chaos also mentioned that he was going to help manage the raffles. Are we going to have tickets or draw names?

I would like to also discuss some other things including a swap table for juices or a juice bar as chatter suggested. Leave one...take one kind of thing would be great.

Any other ideas on what we should cover for the meet? :?:

It was great to meet you guys today! I had such a great time. Too bad vaping wasn't allowed in the common areas though. =)

OK...let's see what I've got here...

Five members of 'the planning committee' met at Old Town Grill on Saturday. Those attending were ChaosAffect, s3anvap3s, Zogem, Chatter97 and yours truly (MikenGa). (Sorry the other folks couldn't attend this time. We MISSED ya!)

Although we had previously been told we would not be able to vape in the common area of Old Town Grill, when I arrived, I found 'the committee' seated at a booth and vaping up a storm...and the waitress seemed totally fine with it! In fact, the fellow seated at the booth behind us pulled out his P.E.N.I.S (Personal Electronic Nicotene Inhalation System) and began vaping, too! Because we were able to vape, we remained at Old Town Grill and did not go to McCray's Tavern.

We enjoyed good conversation, tied on the feed bag and sampled some interesting juice! (I learned I am not a fan of 'Chocolate Maple Bacon Oyster Chitlin' flavored juice!:glare: Thanks anyway, s3anvap3s! :laugh:)

We also met the manager in our reserved room, and found it to be large enough for a maximum capacity of about 75 people at any one time. (In the future, if we need more space, we'll probably need to reserve a hotel banquet room.)


'The Committee' decided:
  • 'The Committee' needs a table at the entrance doorway to handle sign in, name tags, door prizes, raffle tickets, display items to be raffled, vendor business cards, CASAA info, etc.
  • To place vendor tables along the outside walls.
  • The room is small enough that a microphone is not required, and that 'Vapers' are interesting and entertaining enough that we do not need background music.
  • We would like a 'SWAP' table...meaning, if you have juice or hardware that you no longer want or use, bring it with you to SWAP for juice or hardware that you would like to try.

    We are also considering a 'SELL' table...meaning, if you have juice or hardware that you no longer want and would like to sell, put it in a Ziploc bag identified with your name and price, and to make it available for someone to buy.

    We would also like to set up a SAMPLE JUICE BAR, where folks have the opportunity to try a wide variety of 'favorite' flavors. Although we are asking vendors to provide samples, at this time we cannot guarantee they will. That being the case, anyone attending who would like to contribute to the SAMPLE JUICE BAR, please bring a bottle of your favorite juice to share - labeled with your name, so you can identify it and take it with you at the end of the event.
  • In order that everyone attending may participate in the Raffle (including 'the planning committee'), each participant will buy one or more numbers (fee per number has not yet been determined). Once the cash box closes and no additional numbers are to be sold, winning numbers will be selected by a random number generator (Chaos knows the website we'll use).

    For example: If 200 numbers are sold, the random number generator will select a number between one and 200. In this way, everyone can participate and share an equal chance of winning one of the fabulous 'mods' donated by our GENEROUS 'VENDOR' SUPPORTERS!
  • Thanks to the donations of vendors, any money generated beyond expenses for our February meet, will hopefully provide a good financial contribution to CASAA, to help them continue to represent OUR HIGHEST INTERESTS as vapers.



THINGS 'TO DO':
Of the vendor's who have expressed interest in attending our meet, only three have paid the $25 table fee. Now is the time to reconnect with the remaining vendors on our list, and confirm whether or not they will be attending. If so, fees need to be paid in advance or space will not be provided. (Vendor fees go toward reimbursing 'the committee' for reserving the room, as well as other minor fees we will incur.)

We also want to ask attending vendors to bring a supply of atty's and drip tips (cuz I'm CERTAIN some of us will forget'em)!


If you are planning to attend our meet and have a favorite juice vendor, please post their website address so we may contact them and request business cards, along with either samples for the juice bar, a raffle donation, or a door prize.


For 'the meet', MikenGa (ME) will provide 'Committee' nametags, nametags for attendees, and marker pens for the table.



I reckon that's about everything I remember that should be covered regarding our plans and our upcoming meet. If I've left something out, somebody correct me and I'll put it in!


To RECAP:
  • 1. We need to reconnect with vendors, because now is the time to collect fees and reserve their space.

    2.
    We need website addresses of favorite vendors by those planning to attend, so we may request either a sample for the JUICE BAR, a raffle donation or a door prize.

    3. We need to support the vendors who are supporting us! (I'll add their website addresses to this post as soon as I locate them.)

    4. BRING CASH to the February Meet!

Not sure about this idea, if we have a 'SWAP' table, what would be the point of having a 'SELL' table? If you don't want it, why not just swap it, or give it to a friend, or are we here to make money, not friends? Which was my original idea. It's all getting a bit too commercial for me, not the fun get to know each other and just have a good time idea I started with.

My thought on the sell table was if it was something you were going to put on the classified's anyway, I would rather sell it to someone local for a better price because it would be local and would not have to send it somewhere. Might be a good deal for both parties. I know a guy at the first Vape Meet a couple of years ago that sold a complete 901 kit for half what he would have gotten on the classifieds because it was way more convienent. It's also nice with used items to be able to see and hold the item since there are no brick and mortar stores around here. We already have suppliers who will be selling their products. But I'm fine with whatever you all decide.

I like the idea of a "sell" and "swap" table. And since there is a built in bar in the room, could that be a good location for the "juice bar"?
That thought crossed my mind when I saw the bar, but I imagine we'll need to see how much space is really available as we set up on the day of the event.

Uhmmmm...I think I remember you saying our first 'planning committee meeting' of 7 folks, was about the size group you were initially thinking about ...and I have to agree that the small group interaction is DEFINITELY a HOOT! :laugh: (That's ONE reason why I'm enjoying 'the planning committee' meetings so much! ;)) The problem is, we have about 10 times that number of folks who are interested in coming together. You had a GREAT idea, and we're READY to 'do it'! :)

Unfortunately, my house would fall down with that number of folks inside, so we have to figure out another way to 'do it'.
Simply because of the number of folks who want to attend, we either rent a room, cancel the idea, or pick and choose which folks we will allow. I'm NOT going to participate in 'pick and choose', and cancelling the idea is too easy! ;) So...we're stuck with figuring out HOW to accommodate EVERYONE, without having ANYONE being stuck with the bill.

Rather than cancelling because too many people want to participate, our local group (including you) has taken it upon ourselves to front the expenses for a much larger gathering. It takes money to do that, and IF we are to host a large group again in the future, we need to be able to reimburse our expenses. THAT is what led to us originally inviting vendors to participate with us, because they have a built in mechanism (sales) to cover our expenses AND their own. Plus, it will be great to actually meet the local folks we buy from online.

As for a 'SWAP/SELL table', I think it's a good option for those who have something they would like to either SWAP or SELL. I'm probably misunderstanding your question about the difference between swapping or selling...because swapping is different from selling. :blush:
  • Someone might have a Darwin to swap for something of equal value, but if the only swap offer is a Joye 510 pass-through and a bottle of juice, that's not a fair swap. If they want to GIVE the Darwin away, that's their business, but they might prefer to put a price on it and just pass it on at the meet, rather than post it on the ECF Classifieds.

(BTW - a number of us at 'the planning sessions' have recently sold or purchased items via ECF Classifieds, and have had very good experiences. Since I'll be bringing a few new vapers with me to the February meet, I expect they will be interested in some 'start-up' hardware...new or used!)

Although it's MUCH easier to have a spontaneous 'get to know you and have a good time' gathering, that only works with smaller groups of folks. BIGGER groups take some planning. The GOOD NEWS is the 'planning committee' turns out to BE that smaller group who meets for the 'get to know you and have a good time' reason! :2cool:

So far, since December, our small group has met TWICE, with plans to meet at the BIG VAPE in February. We even mentioned the idea of meeting again the following month, to begin planning our next BIG GATHERING! Don't say anything - it's a SECRET...shhhhhhhhhhhhhh... - but THIS could possibly be the beginning of the monthly meetings of 'The Atlanta Vapers Club'. Even if it isn't, we ARE getting to together and sharing good times!

Lookin' forward to seeing YOU again, soon! (Bring more 'Boston Creme Pie' juice! :))

Point taken, Mike. Sorry if it came out like that. I just didn't want to get the idea across that we are there to buy and sell from each other, but I suppose it would be easier than classifieds for the high end hardware items, but not so much juices, and serve the same purpose. I've been a bit touchy lately and apologize to everyone, been a rough holiday for me. You guys are doing great, and keep up the good ideas, I'll keep my :2c: to myself.
It's going to be a great time, and I'm looking forward to seeing it through.
