What'cha need at this point Chaos? E-mails and phone numbers for these? I know some folks who had a relationship with some of these vendors planned to reach out to them, but not sure who was supposed to do who (well, I know Sammy was going to contact Ovale).

Help with contacting them would be awesome. I was just going to send a BCC email to them all informing them of the preliminary plan to have the meet on February 18th, asking if they'd attend, asking if they'd be OK with a $25 charge, and asking them if they want to donate anything for a door prize, or raffle.

Those were just my assignments for vendor contacts. I am sure one of the other committee members has you on their list to contact.

Working on it. I can gather the info and go ahead and contact these vendors as well? I was holding off contacting the ones I mentioned already until we had all the plans confirmed including whether we were going to charge a fee to the vendors to help cover the deposit.

I think jiboolie mentioned she knew the folks at Awesome Vapor? If any other members/attendees have any direct contact with these vendors let us know!

If you could go ahead and contact some of them that would be a great help. Obviously we're not going to be asking them to cough up any cash immediately, but it'll be nice to know whether they'd be willing to do it. I've got to study for my last Final or I'd do it myself.

Sammy - I can help if you'd like - just tell me who and I'll knock it out.

Chatter - you going to talk to Mom and Pop? I know Pop was asking what the date was, so I think they may be entertaining the idea of showing up if they can. I know he's got a little something up his sleeve too for this event.

Is anyone a good negotiator? I was planning on calling OTG today, but I'm cramming like a .... for this test tonight. If someone can talk to them just to get the following accomplished:
We want a room for the 18th of February
We would like the bigger room, but will take the smaller if necessary
We would like a cash bar, and food will be a la carte.

After we get that nailed down I can just call and give them my card for the deposit.

Note we will send a standard email to all with this list being for the follow up contacts by phone to confirm, chit chat and answer any questions they might have. Note some of them don't appear to have phone numbers but we can ask for phone contact information in the email. I will work on the stock email this weekend after I talk with OTG tomorrow about the details. We can send the email first of next week and follow-up shortly after that or after the holidays if any are not available.
